How patrols work

How PatrolSync records and verifies every patrol.

PatrolSync turns a guard's route around a site into a timestamped, GPS-backed record. Every checkpoint scan is logged automatically — no paperwork, no manual entries. Managers see activity in real time and clients can verify it independently.

Checkpoint scanning • GPS verification • Real-time visibility
What gets recorded on every patrol
Each checkpoint scan automatically captures the following.
Which guard scanned the checkpoint
The exact time of the scan
The GPS location at the time of the scan
Which site and checkpoint was visited
The patrol flow

From signing in to a completed patrol record.

Every patrol follows the same simple flow. The guard uses the app, scans the checkpoints on their route, and the record is created automatically in the background.

1

Guard signs in to the app

The guard opens the PatrolSync Guard app and scans the site login QR code. They then find their name from the dropdown menu and enter their PIN. This links the patrol session to the correct guard and site record from the start.

2

Guard walks the route and scans checkpoints

As the guard moves around the site, they scan each QR checkpoint using the app camera. Each scan is recorded instantly — no typing, no manual logging. The app confirms each successful scan so the guard knows it has been captured.

3

Every scan is timestamped and GPS-tagged

PatrolSync records the time and GPS location of every checkpoint scan. GPS accuracy depends on conditions — signal is stronger outdoors and in open areas, and may be less precise indoors or in locations with poor signal. The timestamp is always reliable regardless of GPS quality.

4

Managers see activity in real time

As scans happen, the portal dashboard updates in real time. Managers can see which guards are active, which checkpoints have been scanned, and how a patrol is progressing — without needing to contact the guard directly.

After the patrol

Patrol data becomes a report that clients can verify.

Once a patrol is complete, the scan data is available immediately in the portal. Reports can be generated, shared with clients, and independently verified using a unique report reference — so there is no ambiguity about whether a patrol happened.

Patrol records are available in the portal immediately after scanning
Reports include every checkpoint scan with timestamp and GPS
Clients can be given access to view patrol activity for their site
Each report includes a unique verification reference for independent checking
Missed checkpoints are visible in the report so nothing is hidden
