What is included in the Free plan?

PatrolSync Free includes 1 active site and up to 2 active guards. It includes the core guard app workflow, QR checkpoint scanning, map view and reports. Client Portal and compliance reporting are Pro features.

What is included in Pro?

PatrolSync Pro includes everything in Free, plus Client Portal, compliance reporting, multiple active sites, and unlimited guards. The Pro plan is designed for security companies that need professional client-facing proof and scalable site coverage.

Do you offer a Pro trial?

Yes. UK and Irish organisations can start a 14-day Pro trial with 1 site included. The trial includes full Pro features on that site, including Client Portal, compliance reporting, reports, and unlimited guards. A card is required at signup, and billing begins automatically at the end of the trial unless cancelled first.

How does Pro pricing work in the UK?

UK Pro pricing is £79 per month plus VAT for each organisation. The first active site is included. Additional active sites are £12 per month plus VAT each. Archived or deleted sites are not intended to count as active billable sites.

How does extra-site billing work?

Extra-site billing is based on active sites beyond the first included site. For example, 1 active site has no extra-site charge, 2 active sites means 1 extra site, and 5 active sites means 4 extra sites.

Why does the checkout price show VAT?

PatrolSync shows UK prices excluding VAT. Stripe calculates and displays VAT during checkout, based on the billing details supplied. For example, £79 plus VAT displays as £94.80 when UK VAT is applied at 20%.

Where can I update my payment method?

Organisation admins can open Account > Billing in the PatrolSync portal and choose Manage subscription. This opens Stripe's secure customer portal, where payment methods and billing details can be updated.

Where can I find invoices and receipts?

Invoices and receipts are available through Stripe's customer portal. Organisation admins can open Account > Billing in the PatrolSync portal and choose Manage subscription to view billing history.

How do I cancel Pro or move back to Free?

Organisation admins can open Account > Billing in the PatrolSync portal, choose Manage subscription or Open cancellation options, and cancel through Stripe. Pro access normally remains until the end of the paid billing period. After that, Free plan limits apply.

What happens if a payment fails?

Stripe manages failed payment handling and retries. PatrolSync shows a payment warning in the portal for 7 days. If payment is still unresolved after that, the portal moves to Free-plan access: extra sites and guards are greyed out, Client Portal and compliance reporting are restricted, and existing guards get a further short grace window to keep recording scans while billing is fixed.

How do I close a PatrolSync account?

Organisation admins can open Account > Billing and choose Request account closure. PatrolSync reviews billing status, audit trails and data retention before closing the account. This avoids accidental deletion of important patrol and security records.

Are printed QR labels part of my monthly subscription?

No. Printed QR labels are one-off orders and are separate from your monthly PatrolSync subscription. The printed label service is currently available for UK fulfilment only while wider fulfilment and tax handling are reviewed.

Where to manage billing

Use the Billing section in the PatrolSync portal.

Organisation admins can open the portal, go to Account, and use the Billing section to manage the subscription through Stripe.
